Configure an Approval Workflow
Build a chain of approvers that runs when a PulseFlow form is submitted — single-stage, multi-stage, serial, or parallel.
Before you start
- You have a form and need to route it for approval
- You know who needs to approve and in what order
What you'll achieve
- A named workflow ready to be attached to one or more forms
Open Workflow Builder
Navigate to Workflow › Workflow Builder. Click Add to create a new workflow.
Basic workflow metadata

Add stages
Inside the workflow editor, add each approval stage in order. For each stage, set:

| Stage name | Label that appears in Task Box (e.g. <em>HR Approval</em>, <em>Manager Approval</em>). | Yes |
| Approver | Who decides this stage — a role, a named user, a reporting manager, or a group. | Yes |
| Condition | Optional — skip the stage unless a form field matches a rule (e.g. amount > 10,000). | No |
| Parallel vs serial | Whether multiple approvers at this stage work in parallel or only one needs to act. | No |
On this screen
Every workflow is tied to a <strong>Module</strong> (e.g. <em>Employees</em>, <em>My Team</em>) and a <strong>Form Name</strong>. Default workflows for modules (Default Leave Workflow, Default Recruitment Workflow) are pre-seeded on most tenants.
Link to a form
After saving the workflow, open your form in Process Builder, go to Submission Settings, and select this workflow in Select Workflow. Save the form. Any new submission now routes through this chain.
Frequently asked
Can I edit a workflow after it is in use?
Yes, but changes only affect new submissions. In-flight submissions complete under the workflow version they were submitted against.
Can one form use different workflows for different groups?
Use conditional stages or create separate forms. True multi-workflow-per-form routing depends on your tenant config.
What happens if an approver is deactivated?
The stage stalls. Reassign via admin tools or update the workflow to route to a backup approver.
