My Approvals vs Group Approvals vs Outstanding

The four Task Box tabs each answer a different question. Know which tab to open for which situation.

Before you start
 • You are an approver, a group approver, or someone monitoring overdue queues
 • You want to understand what each tab contains
What you'll achieve
 • A clear mental model of each tab
 • Confidence to act on the right items

The four tabs

FieldWhat to enterRequired
My ApprovalsRequests personally routed to you. This is your action queue — approve or reject these to keep workflows moving. No
Group ApprovalsRequests routed to a group (e.g. “HR team”). Any group member can pick up and decide. Once one member acts, it disappears from everyone’s queue. No
Outstanding ApprovalsItems overdue within your team’s queue — escalations you can pick up or reassign. Useful for managers covering for a teammate on leave. No
Approval HistoryA read-only log of every decision you (and your groups) have already made.No
On this screen
The Outstanding Approvals badge shows a negative count when your team is behind on SLAs (for example -5). Drive this back to zero by picking up overdue items.

When to use each tab

My Approvals — daily work. Open this first, action what is there.
Group Approvals — for shared queues where any qualified approver can decide.
Outstanding — when you are catching up after leave, or a teammate is out and you need to cover.
Approval History — for audits, month-end reviews, or proving what was decided and when.

Frequently asked
Will a Group Approval appear in My Approvals too?
No. Group items live in Group Approvals only. If one member acts, it clears for everyone.
Can anyone see Outstanding Approvals?
Scope depends on your role. Typically managers and delegated approvers see overdue items for their team.
How far back does Approval History go?
Retention is set by your admin. Most tenants keep at least one fiscal year visible.
