To apply for a leave request, click the +Apply Leave button on the right-hand side. A pop-up window will open, where employees must fill in all the mandatory fields and submit the request.

  1. When selecting the Leave Type, employees can view their eligibility for the chosen leave type on the right-hand side.
  2. After completing all required fields, click Submit to trigger the approval process, which will be sent to the designated approver based on the configured workflow.To view the approval workflow, click the three-dot menu in the Action column and select "Approval Workflow." A pop-up will display the current status of the request.
  3. To view leave data: Select the record, and a pop-up window will open displaying the applied leave request.
  4. To edit a leave request: Click the Three Dots in the Actions column and select Edit.
  5. To cancel a leave request: Click the Three Dots in the Actions column and select Cancel.
  6. To download the leave register report click the Three Dots in the right hand side above the Actions button and click the Export.
  7. You can cancel both applied and approved leave records only if the payslip has not been generated for that month.
  8. If you cancel an applied leave request, the status will change to "Cancelled" immediately.
  9. If you cancel an approved leave request, the status will change to "Cancel Applied", and an approval request will be sent to the approver. Once approved, the status will change to "Cancelled" and the deducted balance will get credited to that particular leave type.

This is the Add Leave Request form. Open it from Time Off → Leave → + New Request. You'll select the leave type (filtered to your eligible balances), pick the date range, mark half-day if applicable, enter a reason, and attach documents if your policy requires them. The form validates balance, notice period, and conflicting requests before letting you submit.

The View Leave Request screen shows the full detail of a single request — status, date range, reason, attached documents, approver trail, and any comments. Use this to check where an open request sits in the approval workflow.

From the request list you can Edit a request that's still Pending, or Cancel one that has been Approved. The option available depends on the current status — approved requests require a cancellation approval before the balance is credited back.

The Cancel Leave Request dialog confirms the cancellation and sends a request to your approver. Once the cancellation is approved, the status moves to Cancelled and the deducted balance is credited back to the relevant leave type.

The Export Leave Register option downloads your full leave history to Excel, including every request, its status, dates, reason, approver, and the balance impact. Handy for tax filings, appraisal documentation, or personal record-keeping.

This view shows the approval flow for the request — the approver sees the same detail you see plus an Approve / Reject / Send Back action bar. The flow is audit-logged end to end.

Title
Description
Leave Type

The category of leave the employee is applying for (e.g., Annual Leave, Sick Leave, Maternity Leave).
Reason

The purpose for taking leave (e.g., Personal, Medical, Emergency).
Duration

The length of the leave (Full Day, Half Day, Quarter Day)
Period
Specifies whether the leave applies to the first half, second half, or first,second, third or fourth quarter.
Alternate Person
The employee who will handle tasks in the applicant's absence (if required).
Leave Start and End Date
The start and end dates of the leave period.
Leave Taken
  1. Refers  to the number of leave days an employee has already used within a specific period.
  2. It included both approved and availed leaves deducted from the leave balance,
Leave Balance(Period Based)
  1. Represent the remaining leave days available for an employee to use.
  2. This balance is calculated based on the total leave eligibility minus the leaves already taken.
Current Leave Eligibility
  1. Indicates the leave entitlement allocated to an employee for the current period(monthly,quarterly,half yearly or yearly)
  2. This value may be prorated based on the employee’s joining date or policy rules.
Total Leave Eligibility
  1. Shows the overall entitlement per annum for an employee as per the organization’s leave policy.

View Previous & Future Leave Data

By default, the grid displays leave data for the current month only.To view past or upcoming leave records, use the Leave Period dropdown. You can choose from the following options:

  • Last 7 Days

  • This Month

  • Last Month

  • Next 90 Days

  • Custom – Allows you to select a specific date range based on your preference.

This feature helps you easily track leave history or plan future time off within your selected timeframe.

The Period Filter narrows your leave history to a specific window — useful for appraisal reviews, tax documentation, or finding a specific request quickly without scrolling.

Frequently Asked Questions — Leave Request

Q. How much notice do I need to give?
Notice depends on leave type and your policy — typically 3–7 days for Annual Leave, 24–48 hours for Casual, none for Sick (can be retrospective). Check the policy details in your leave request form.
Q. Can I apply for multiple leave types in one request?
No, each leave type needs its own request. If you want to club Annual + Sick, raise them as two separate requests so the approval and balance debit logic runs cleanly for each.
Q. What if I need to extend an approved leave?
Raise a new request for the additional days. The system treats it as a fresh approval cycle; your manager sees it as a linked extension, not a duplicate.
Q. Can I cancel or edit an approved leave?
Yes, provided the leave start date is in the future. Past-dated or same-day approved leave requires manager or HR action to cancel. Balance is credited back on cancellation.
Q. What happens if my manager is on leave when I apply?
Your request escalates to the backup approver (configured in your reporting hierarchy) after the SLA window, or to your skip-level manager if no backup is defined. Either way, the request doesn't stall.
