Pre-Approval Request
Apply, edit, and cancel pre-approval requests from ESS — with clean status transitions for applied, approved, and cancelled states.

BEFORE YOU BEGIN
Prerequisites
- ESS access with Pre Approval module enabled
- Pre-approval types configured by admin
- Mandatory fields ready (dates, reason, type)
- Approver assigned in the workflow

Employee Self Service → Pre Approval
To apply for a pre approval request, click the +Initiate Request button on the right-hand side. A pop-up window will open, where employees must fill in all the mandatory fields and submit the request.
- After completing all required fields, click Apply to trigger the approval process, which will be sent to the designated approver based on the configured workflow.
- To view pre-approval data: Select the record, and a pop-up window will open displaying the applied pre-approval request.
- To edit a pre-approval request: Select the record and click the Edit.
- To cancel a pre-approval request: Click the cross icon in the Actions column and select Cancel.
- If you cancel an applied pre-approval request, the status will change to "Cancelled" immediately.
- If you cancel an approved pre-approval request, the status will change to "Cancel Applied", and an approval request will be sent to the approver. Once approved, the status will change to "Cancelled" and the deducted balance will get credited back.

TIP
Cancel flow differs by status: Cancelling an applied request flips it straight to "Cancelled." Cancelling an approved request sends a cancellation approval to the approver ("Cancel Applied"), and balance credits back only after they approve.
NOTE
Mandatory fields: The Apply button only becomes active after all required fields are filled. Partial submissions won't trigger the workflow.
