Initiate a Form on Behalf of Your Team
When a reportee cannot file a form themselves — on leave, new joiner, offline — raise the form for them from your My Team view.
Before you start
- A team member needs a form submitted but cannot do it
- You have manager-on-behalf permissions for the form
What you'll achieve
- A submission raised under the team member’s name
- The form enters the same approval workflow as if they raised it
When to initiate on behalf
Use this when an employee is unavailable (leave, travel, separation) but a form still needs to move. The submission is tied to the employee — not to you — so it flows through the workflow they would normally follow.
How to initiate

Open My Team PulseFlow
Navigate to My Team › PulseFlow.

Click Initiate
The Initiate button in the top bar opens the form picker. Only forms configured to allow on-behalf submission appear.

Select the employee
Choose the team member the form is being raised for. If you manage more than one reportee, the selector filters to your team.

Fill and submit
Complete the form the same way the employee would. On submit, the form enters the employee’s workflow.
On this screen
The submission shows your name as <em>Initiator</em> and the employee’s name as <em>Submitted By</em>. Both are visible to approvers and auditors.
Frequently asked
Can I initiate any form on behalf?
Only forms the admin has marked as on-behalf-capable. Check with your admin if the form you need is not listed.
Who receives approval notifications?
Approvers on the workflow receive notifications as usual. The employee receives a copy that you initiated on their behalf.
Can I edit the submission after it enters the workflow?
No. Once submitted, the form is locked. If rejected, raise a corrected submission.
