When to use an admin override
- An employee calls in sick on a published roster day and you need to assign a replacement immediately.
- A shift needs to be cancelled or changed without requiring another employee to take it.
- You need to add a shift to an employee's day that wasn't in the original roster.
- Emergency staffing changes during or after publication.
How to perform an admin override
- Open the published roster and locate the cell you need to change.
- Click the cell — you'll see the Override option alongside the standard edit tools.
- Select the new shift, or choose Remove Shift to clear the cell entirely.
- Add a reason (required for published roster changes) — this appears in the audit log.
- Click Save Override. The affected employee is notified.
💡 Pro Tip
Always add a meaningful override reason — 'Emergency sick cover' is more useful in an audit than 'Change'. Payroll teams look at these logs when investigating discrepancies.
When to use the swap workflow
- Two employees want to trade shifts on a specific date.
- An employee proactively arranges coverage with a willing colleague.
- You want both employees to acknowledge the change (creates a cleaner audit trail).
Frequently asked questions
Can an admin force a swap without both employees agreeing?
An admin can use an override to reassign shifts without requiring employee consent. The swap workflow specifically models mutual consent — don't use it as a workaround for forced changes.
Does an override affect the next cycle's rotation?
No. Overrides are applied at the occurrence level. The underlying pattern remains unchanged, so the following week's rotation generates normally.
Is there an approval step for overrides?
Only if your org has configured an approval workflow under Setup → Roster → Override Approvals. By default, admins can override without additional approval.
